FAQ

After my mailbox has been migrated, will I lose email that I have archived?
Email that was either archived using a .pst file or stored in an online archive, will still be accessible after the migration.
Can I still send messages using Mail Merge?
Yes, you can still send information using a mail-merge once email has been migrated to the cloud. However, some of the restrictions to the number of messages that can be sent per minute have changed.
Can I still access my email if there is an outage at the cloud provider or a disruption in internet access?
As it does today, a properly configured outlook client will continue to cache a copy of your mailbox on your computer that can be accessed even if connectivity to the cloud is disrupted. Any sent messages or calendar invitations will remain in the outbox until the connection has been restored.
How do I connect email to my mobile device using either POP or IMAP?
KU IT Strongly Recommends that email clients be configured to access KU Email using an Exchange/ActiveSync connection. If you wish to configure your KU email using POP or IMAP, this KnowledgeBase article details the step-by-step process.
How do forward my KU email to another account after the migration?

How do I access a shared/department mailbox from the new Outlook Web app?
View a shared mailbox in a separate browser window:
  1. Browse to outlook.office365.com.
  2. Log in with your KU Online ID and password if prompted.
  3. Authenticate with Duo if applicable.
  4. Select your preference to stay logged in or not.
  5. Click on your name in the upper right-hand corner.
  6. Choose Open another mailbox.
  7. Enter either the name or the email address of the account.
  8. Select the account.
  9. Select Open.

View a shared mailbox listed under your primary account:

  1. Browse to outlook.office365.com.
  2. Log in with your KU Online ID and password if prompted.
  3. Authenticate with Duo if applicable.
  4. Select your preference to stay logged in or not.
  5. Right-click on Folders from left pane.
  6. Choose Add Shared Folder.
  7. Enter the name or email address of the shared account.
  8. Select Add.
Can I still access my email through mail.ku.edu?
After the migration, you will access your email using the following instructions:
  1. Browse to outlook.office365.com.
  2. Log in with your KU Online ID and password if prompted.
  3. Authenticate with Duo if applicable.
  4. Select your preference to stay logged in or not.

Will the new email system support calendar sharing with organizations outside of KU?
By default, we only allow “free / busy” to be shared for organizations outside of KU.  However, we can setup federation for organization outside to IT if needed.
Can I set up a personal whitelist and blacklist?
Yes. You can use the “Safe Senders” list. You can also block senders or entire domains. Directions here for Outlook for Mac, Office 365 OWA, and Windows.
Can I opt out of safelinks?
We can add domains to the “do not rewrite list” but we cannot exempt individual users from SafeLinks.
Will the new service support IMAP?
Yes. Here you can find instructions for connecting a mobile device using IMAP.
After the migration, will Microsoft be allowed to data-mine my personal information?
"Microsoft will not use or otherwise process Customer Data or Personal Data for: (a) user profiling, (b) advertising or similar commercial purposes, or (c) market research aimed at creating new functionalities, services, or products or any other purpose, unless such use or processing is in accordance with Customer’s documented instructions."
Why is email forwarding not working?
Once the migration is complete, any pre-existing email forwarding will no longer be in place. You can re-enable your email forwards after the migration by using these directions on how to set-up email forwarding post-migration.
Why am I unable to access a shared account from mail.ku.edu?
If a shared account has already been migrated to the cloud, but the individual is still on premise, the shared account cannot be accessed through mail.ku.edu. Once both the individual and the shared account have been migrated you will be able to access the shared account normally through the full Windows desktop client, or via the web-based Outlook Web App at outlook.office365.com/owa. Until then, any individual that has not been migrated and who has access to the shared mailbox can access it directly by browsing to https://outlook.office365.com/mail/email address of shared account
